WHAT TO DO:

Parking:

All volunteers will park in the parking garage at the corner of Calhoun Street and E. Weatherford Street.  Click here for driving directions and map.  Parking will be validated on both days.

After parking, please enter the courthouse through the Calhoun Street entrance.  The volunteer registration table will be in the hallway straight ahead. 

 

Attire:

No sandals, tank tops, shorts or jeans.

Thursday - courtroom appropriate attire.

Friday - RED button down or polo shirt with slacks for men.  RED dress or RED polo or blouse with slacks or a skirt for women.

 

What to Bring:

Only your keys and cell phone.  There is no secure storage for your items at the courthouse.  You are welcome to leave items at the volunteer check in table, BUT I am NOT responsible for these items being lost or stolen.

Adoption Day activities are held on the 1st, 2nd and 4th floor of the Family Law Center.  Click here for a map of each floor.

 

 

Registration Table Volunteers:

 

Attorney/Volunteer Tables:

1. Check their name is on the list and mark off as appeared.

2. Provide a name tag and thank you note.

3. Provide any paperwork you have for them.

4. Volunteers ONLY – direct them to the parking validation table, if applicable.

5. At the end of the day, help with clean up/break down of your area.

 

Media Table:

1. Have each person sign in with name and company.

2. Advise NO pictures of families with colored name tags.

3. Ask volunteer to escort the media to the 4th floor/Patricia Nolan.  If an elected offical, ask volunteer to escort to 4th floor media courtroom.

4. At the end of the day, help with clean up/break down of your area.
5. Turn in check in sheets to the Volunteer Coordinator.

 

Guest of Families Table:

1. Have them sign in with name and family coming to watch.

2. Provide them with a generic name tag.

3. At the end of the day, help with clean up/break down of your area.

4. Turn in check in sheets to the Volunteer Coordinator.

 

Family Check-In Table:

1. Check their name is on the list & provide name tags

2. If family did not fill out a photo release, please have them fill out and  create name tags

3. Provide family with a program and their welcome bag

4. Assign an Escort for the family.

5. Write in courtroom and time for adoption on family escort card

6. Advise them of the frame & sharpie for notes from family/friends

7. At the end of the day, help with clean up/break down of your area.

8. Turn in check in sheets to the Volunteer Coordinator.

Family Escort:

Below is the information and schedule you will recceive when assigned a family.

 

You will accompany the family through the day to all activities

_____  Registration – meet your family at the registration area; get parking validated (1 per family)

_____  Ask parents if they would like to have family/friends sign frame matting - sharpie included in bag

_____  Welcome/Speaker (8:45) – 4th Floor Atrium

 

The next three items can be completed in any order BEFORE the adoption:

_____  Capes for Adopted Children/Batman City Scape – 2nd Floor

_____  Food/Drinks, Autographed Book, Post Adopt Resources – 2nd Floor

_____  First offical family photograph – 4th Floor

 

_____  Adoption – __________ courtroom (Time _________)

_____  Collect the family’s name tags & sharpie; return to registration table

 

Things to remember:

1. Go to the assigned courtroom 15 minutes before the scheduled adoption time.

2. Remind everyone to be very quiet when outside the courtroom

3. Assist the family in checking in at the court room

4. Usher all other family members out of the court room to the lobby area to wait for the parents after the adoption

5. Show the parents into the holding room to complete all paperwork

6. Ensure family has: (1) Certificate for each adopted child; (2) necklace for each adopted child; (3) rose for mom; (4) bear per child; (5) pen for dad

7. When the family is ready to leave, walk with them to the front door and thank them for being a part of the day and congratulate the family on the adoption.

 

NOTE:  If there are errors on the Adoption Certificate or necklace, take down the corrected information and the mailing address on their certificate (or the back of this card for necklaces) and return it to the Volunteer Check In Table.  The corrected item will be mailed to the family.

Courtroom Aides:

 

Door Greeter:

1. Greet participants as they arrive at the court room doors.

2. Check off family as their adoption is completed.

3. Please do not allow families to enter until it is their time.

4. Remind everyone that there is no food or drink in the court room.

5. Notify participants when it is time to go into the court room.

6. Help clean up bears and trash at end of day.

7. Turn in sign in sheets to Volunteer Check In Table.

 

Judge Assistant:

A superhero will be assigned to your courtroom.  Please make sure the families get a photo op with the superhero, if they wish

1. Assist the Judge in any way he or she needs

2. Between adoptions, be sure to change the date on the chalkboard sign for photo ops (# of day are on the assignment list next to each family; if multiple kids & 1 date, all kids were removed on same date)

3. Be sure that the Adoptive Child gets his/her Certificate & Jewelry

4. Be sure mom gets flower

5. Be sure children get ONE bear per child

6. Make sure the family goes directly to the appointed room to complete all paperwork

7. Make sure families take everything with them

8. Help clean up bears and trash at end of day. Bring sign and marker to Volunteer Table, unless otherwise directed on back of sign

Common Areas:

 

Elevator/Lobby:

1. Monitor Elevators.  If it starts getting backed up, make sure people are not pushing the call button before the elevator has left.

2. Provide direction to people looking for specific courtrooms using the list you will be provided.

3. Be sure no food or drink goes past the 2nd floor.

4. ONLY superheroes are allowed to the 5th floor to change.

 

Reception Area:

A superhero will be assigned to your courtroom.  Please make sure the families get a photo op with the superhero, if they wish

1. Keep the refreshment tables stocked and clean.

2. Be sure to check the coffee pots regularly and make new coffee as needed.  It takes approximately 20 minutes to make a pot of coffee.

3. Provide direction to people looking for specific courtrooms using the list you will be provided.

4. Be sure no food or drink goes past the 2nd floor.

5. Make sure the families and children visit the information tables, author table and super hero cape photo op.

6. Help clean up trash at end of day. Bring any items to the Volunteer check in table.
